These are fun, take about two minutes to set up, and most people stop using them within a month, because a modern phone already triggers almost all of them on its own. That second kind survives, because no phone sensor can know what is inside a sealed container or how many of something you have left. The practical setup is a tag that does both: it opens the right list when you tap it, and it applies a preset change without you typing anything. Two Very Different Things Called “NFC Automation”
If you search for NFC tag automation ideas, you get a fairly uniform list: tap a tag by the bed to run a sleep routine, tap one in the car to start navigation, tap one at your desk to enable Do Not Disturb. All of these work. I have set up most of them.
I also stopped using most of them, and it took me a while to work out why. It isn’t that they’re broken. It’s that your phone already knows most of that. It knows when you connect to CarPlay. It knows when you get to work. It knows your bedtime. The tag is a manual trigger for something that was already automatic, so the tag becomes an extra step, and extra steps get dropped.
The automations that stuck are the ones where the tap does something the phone genuinely cannot infer: it changes a record of the physical world. How many rolls of paper towels are left. Whether the camping bin has been restocked since the last trip. Which kid’s backpack the good scissors ended up in. Your phone has no sensor for any of that, and it never will.
So this post is split. First the data automations, which are the ones I would actually build a system around. Then the phone automations, honestly filtered down to the four I still have running.
What a “Data Automation” Actually Is
The mechanic is simple. A tag stores a pointer. When you tap it, your phone follows the pointer and does a preset thing.
With Shortcuts, the preset thing is a phone action. With a list app that supports NFC properly, the preset thing is a change to a list. In Intellist those presets are called NFC Actions, and the ones that get used constantly are unglamorous:
- Subtract one from a specific item’s count.
- Add one — the same thing in reverse, for when you put stock away.
- Set to a value, for the weekly “there are three left” recount.
- Mark restocked, which resets a container to its full checklist.
- Move an item to another list, which is how check-in/check-out works.
- Just open this list, which is not an automation at all but is still the most-used one.
None of that is clever. The point is that the tap is one motion. You are holding the last roll of paper towels; you tap the shelf; the count is now correct and the item is on the shopping list. If updating the count required unlocking the phone, finding the app, finding the list, finding the item, and hitting minus, you would not do it, and within three weeks the inventory would be fiction. Inventory systems don’t die from being wrong, they die from being annoying.
The Data Automations Worth Setting Up
Ranked by how often I actually tap them.
1. Pantry and paper-goods decrement
A tag on the inside of the pantry door, wired to “subtract one” on whatever you just took. This is the highest-frequency tap in my house by a wide margin, because it happens on the way out of the pantry, hands already full, which is exactly when opening an app is impossible. Pair it with a rule that adds the item to the shopping list at a threshold and the grocery list stops being something you write from memory on Saturday morning.
2. Freezer inventory
The freezer is the single worst-known space in most houses, because looking inside means standing in the cold moving frozen bricks around. A tag on the freezer door with the contents list means you check from the kitchen doorway, and tapping it after you pull something out keeps it honest. This one converts skeptics faster than any other idea on the list.
3. Restock-a-kit
Some containers are supposed to hold a fixed set of things: a first-aid kit, a camping bin, a car emergency kit, a diaper bag, a photography bag. They only fail when something got used and nobody replaced it. A “mark restocked” action turns the audit into: open the container, tap, walk the checklist, done. The value is that the list resets — you are checking against the intended contents, not against your memory of them.
4. Check-out / check-in for shared tools
Two tags: one on the tool wall, one wherever the tool tends to end up. Tapping moves the item between lists, so “who has the good drill” has an answer. This is the automation that works best in households with more than two people, and it is the closest thing to a warehouse workflow that makes sense at home.
5. Consumable bins in the garage or workshop
Screws, sandpaper, filters, batteries, printer paper. Anything you buy in bulk and discover you are out of at the worst possible moment. A tag per bin plus a decrement action gives you a running count without a single deliberate inventory session.
6. Storage bins you rotate seasonally
Holiday decorations, winter gear, kids’ clothes in the next size up. Here the automation is mostly “open the list,” but the payoff is real: tapping the top of a stacked tote tells you what is inside without unstacking it, which is the whole reason NFC beats a label on a bin.
The Phone Automations I Still Use
I don’t want to be unfair to the Shortcuts crowd. Four of these survived on my own phone, and they share a trait: the phone can’t infer the trigger on its own.
- A tag in the car for a specific route. Not “start navigation” generically — CarPlay handles that. A tag that starts the exact route to daycare, which the phone has no way to guess at 7:40am.
- A tag on the treadmill or weight rack that starts a workout and a playlist together. Genuinely faster than the watch, and the gesture already fits the moment.
- A guest Wi-Fi tag on the fridge. Guests tap and join without you reading out a password. This one is a crowd-pleaser and costs one sticker.
- A tag by the front door for “leaving the house” — lights off, thermostat down, alarm armed. Location-based triggers exist and are unreliable at the exact moment you walk out. The tap is deterministic.
What they have in common: the tag is at a place where you already stop moving for a second, and the outcome is something the phone genuinely couldn’t have predicted.
The Ones I Deleted (And Why)
In the interest of not writing another listicle of things nobody uses:
- Bedside sleep-mode tag. Deleted. Sleep Focus runs on a schedule and does it better.
- Desk “focus mode” tag. Deleted within a week. I would forget it existed on exactly the days I needed it.
- Tap-to-toggle a smart plug. Deleted. Reaching the tag was never easier than saying it out loud or using the switch.
- Tap-to-open an app. This is a demo, not an automation. The home screen was already there.
- Tap to log water intake. This one is a data automation in spirit and I wanted it to work, but the tap has to happen at the moment you drink, and there is no single place where that happens.
The pattern in the failures is the same as the pattern in the successes, inverted: if the tag lives somewhere you don’t reliably pass at the moment the action is relevant, it dies. Placement is most of the design.
How to Set One Up
Concretely, using the pantry decrement as the example:
- Buy plain NTAG215 stickers. A 50-pack is roughly $10–$15. There is no special “automation tag” — these are the same tags used for everything else, and they rewrite thousands of times.
- Build the list first. Make the pantry list, add the items you actually run out of, with counts. Skip the spices; nobody sustains a 200-item pantry inventory.
- Create the NFC Action. Define what the tap should do — “subtract one from paper towels,” or “open this list” if you want to start simple.
- Write it to the tag. Hold the phone to the sticker once. That’s the write.
- Stick it where the motion already happens. Inside the pantry door at chest height, not on a shelf edge you have to bend for.
- Give it a week before adding more. One working tag teaches you more about placement than ten planned ones.
Two practical notes. Standard stickers don’t read on metal — if the surface is a metal shelf or a chest freezer, buy on-metal tags with a ferrite layer, usually $0.50–$1.00 each. Automations Without Tags
Worth saying plainly, because it’s the question I get most: you don’t need NFC for any of this. The tag is a shortcut to a change you could also make by hand or by rule.
Rule-based automations run without a tap at all — an item dropping below a threshold adds itself to the shopping list, a restock resets a checklist, a shared list notifies the group when something changes. Those do the same work with no hardware, and they’re the right starting point if you want to see whether the system fits your household before spending anything.
The tag earns its place in one specific situation: when the update has to happen at the container, with your hands full, in under two seconds. That’s a narrow window, and it’s also most of the times an inventory actually goes stale.
Where I’d Start
If you want one tag to decide whether any of this is for you, make it the freezer or the pantry door. Both are high-frequency, both are places you already stop, and both have a genuinely unknown state that no phone sensor can resolve. Set up the list, attach a decrement action, and see whether you’re still tapping it in two weeks.
