Here is the part that annoyed me most, though. We had a packing list. A good one. My wife made it, we checked things off, we brought basically everything we intended to bring. The list did its job perfectly and it was completely useless by the time we landed, because the moment the packing is done, the list becomes a historical document. It records what came into the house. It has nothing to say about where any of it ended up.

Why Packing Lists Don’t Actually Solve This
Every travel packing app and every printable family packing list works the same way: one list, for the trip, checked off as you pack. That format has a built-in expiration date.
A checklist answers "did I bring it?" That is a yes-or-no question, it is only interesting for about an hour before you leave, and once you have answered it the list is done. What you need for the next seven days is a completely different question: "where is it?" A flat checklist structurally cannot answer that, because it has no concept of the bags. It is a list of objects with no locations attached.
This is the same failure I wrote about with moving boxes and with storage bins, and it shows up anywhere a bunch of stuff gets distributed into a bunch of containers. But travel is the nastiest version of it, for three reasons:
- Multiple people pack independently. Nobody has the full picture, including the person who made the list. My wife packed the kids’ bags, I packed mine, and neither of us could tell you what was in the other’s.
- The bags get repacked constantly. A moving box gets sealed once. A suitcase gets opened, ransacked, and half-repacked every single day of the trip, so whatever mental model you started with is wrong by Tuesday.
- You have to reverse the whole thing under a deadline. On the way out you pack over three unhurried days. On the way back you have forty minutes before checkout, and things get left behind in exactly this window.
So the goal is not a better packing list. It is to attach the list to the bag.
The Fix: One List Per Bag, Not One List Per Trip
The whole method is one structural change: instead of a single "Disney Trip" list with sixty items on it, you make a list for each bag. Five bags, five lists. "Kids’ Suitcase," "Blue Carry-On," "Park Backpack," and so on.
That alone fixes most of it, because now every item has a location attached by definition — it is on the list of the bag it is in. You can search "sunscreen" and get an answer instead of a memory.
Then you make it physical: stick a cheap NFC tag on each bag and write that bag’s list to it. Tap your phone on the tag, the bag’s list opens. No searching, no remembering what you named it, no unzipping. Just tap the bag in front of you and look at what is inside it.
That last step is the part that makes it stick, and I want to be specific about why, because it is not a gimmick. Every list system dies from the same cause: the update is inconvenient at the exact moment it needs to happen. When you pull the ponchos out of the carry-on and shove them in the park backpack, you are not going to open an app, find the right list, and move an item between lists. But you might tap the bag you are holding and hit one button. The tag closes the gap between the physical thing and the record of it, and that gap is where every packing list in history has gone to die.

Two travel-specific notes that matter more than they do at home:
- Soft luggage: stickers are fine. NFC reads straight through nylon, canvas, polyester, and leather. Stick it on the inside of the lid flap or under the top handle where it will not get scraped by a conveyor belt.
- Hard-shell and aluminum cases: use a hanging tag. Metal blocks NFC, so a plain sticker on an aluminum case will not read reliably. Either buy on-metal NFC tags (they have a ferrite shielding layer, cost a bit more, and work fine) or — easier — use a hard NFC luggage tag or NFC-embedded keychain clipped to the handle, hanging free of the shell.
An iPhone and a list app
Any iPhone from the 7 forward can read tags; iPhone XS and later can write them and read them in the background without opening anything first. You need an app that stores real lists and can write them to a tag — I use Intellist, which is free and is the reason I know the setup takes two minutes.
Optional but recommended: one AirTag
Not for the contents. For the location. These are two genuinely different problems and I go into why further down, but the short version: put an AirTag in the checked bag you would most hate to lose, and NFC tags on all of them.
How to Set It Up the Night Before
Do this while you are packing, not after. Same rule as moving boxes: reconstructing the contents of a bag you already zipped is the step nobody ever actually does.
1. Make a list for each bag as you fill it
Name it something you would recognize in a hotel room at 6am — "Kids’ Blue Suitcase," not "Bag 2." Add items as they go in. Do not be exhaustive; you are not doing an audit. Hit the categories and anything you would plausibly go looking for: swimsuits, ponchos, sunscreen, chargers, the good camera, the medicine bag. Skip "14 socks."
2. Add detail to the things that matter
For most items the name is enough. For a handful — the camera, the iPad, prescription medication, the expensive stroller — add a photo and what it is worth. That takes ten extra seconds each and turns out to matter a lot if a bag goes missing, which I get into further down.
3. Write each list to a tag and stick it on the bag
Hold your phone to the sticker, write the list, peel, place. Put the tag in the same spot on every bag — I use just inside the top flap — so you are not hunting for it. On soft bags, a strip of clear tape over the sticker protects it from a week of baggage handling; NFC reads right through tape.
4. Tap each bag once to confirm
Ten seconds per bag, and it means you find a bad tag on your kitchen floor instead of in a hotel in Orlando.
Total: about two minutes a bag. For a five-bag family trip you are ten minutes deep, which is less time than one round of unzipping everything.
What Actually Changes on the Trip
The payoff is not dramatic. It is a bunch of small annoyances that stop happening.
The "which bag" conversation ends. Somebody asks where the ponchos are, you tap two bags, done. Or you just search the app for "poncho" and it tells you which list it is on without touching a bag at all. This sounds minor and it is genuinely the thing I noticed most.
Nobody has to be the person who knows. In every family there is one parent who has the whole trip loaded in their head, and it is exhausting. When the lists are shared, my wife can tap a bag she did not pack and see what is in it. The knowledge stops living in one person.
Packing the day bag gets fast. The park backpack is its own list, so loading it in the morning is a checklist — ponchos, sunscreen, snacks, battery pack, autograph book — instead of a memory test performed at 7am. And when you take something out of a suitcase to put in it, you move the item between lists in one tap, so both stay true.
It works with no signal. This mattered more than I expected. On the plane, in the park with the network completely saturated, at a hotel with hostile wifi — the lists are on your phone and edits sync later. The Trip Home Is Where It Really Pays Off
Here is the part I did not anticipate until I thought it through afterward.
Everything left behind on a trip is left behind in the last thirty minutes. You are checking out, the kids are melting down, you are doing the frantic sweep — under the beds, in the bathroom, behind the curtain — and the sweep is entirely from memory. Memory that has been awake since 5am for six straight days.
With a list per bag, the sweep becomes a checklist. Open each bag’s list, walk it, confirm. The charger that lives in the wall behind the nightstand shows up on the list as missing instead of showing up as a realization three states later. Same for the swim goggles drying on the balcony rail and the kid’s stuffed animal under the hotel duvet, which is the one that actually ruins a drive home.
And because the lists persist, the next trip does not start from a blank page. Duplicate the bag lists from the last trip, adjust for the season, and you have a packing list built from what you actually brought last time rather than what you think you bring. That is the difference between a disposable checklist and a list you keep — the second one gets better every time you use it.
Be Clear About This: NFC Tags Are Not Trackers
I want to be blunt here, because this is the one place travel content routinely oversells NFC.
An NFC tag cannot find your bag. It has no battery and no radio range — you have to be within a couple of centimeters, holding your phone against it. If an airline sends your suitcase to Denver, the NFC tag goes to Denver too and tells you nothing. It is not a Tile, it is not an AirTag, and no NFC tag anywhere is going to appear on a map.
These solve two genuinely different problems, and the right setup uses both:
- AirTag (or Tile / SmartTag) answers "where is my bag?" Roughly $25–30, one per checked bag you would hate to lose. Airlines have gotten noticeably better about acting on a passenger who can say precisely where their bag is sitting.
- NFC tag answers "what is in this bag?" Twenty cents, one per bag including the ones you carry on. This is the question you ask thirty times a trip and the one no tracker addresses.
A couple of related facts, since people ask: airport X-ray and TSA screening do not harm NFC tags — there is nothing in them to damage. And no airline system reads your tags; they are for you and your phone only. The bag’s own barcode tag is what the airline scans.
If a Bag Actually Goes Missing, the List Is Your Claim
This is the unglamorous case that turns a nice-to-have into something worth doing, and it is the one I would not have thought about before writing our home inventory for insurance guide.
When an airline loses a bag — or it is stolen out of a rental car, which is depressingly common in tourist cities — the claim process asks you for an itemized list of the contents, with values. Sometimes with proof of purchase. You are expected to produce this from memory, days later, while stressed, and the settlement is based on what you can actually document. Most people underclaim badly, simply because they cannot remember what was in the bag.
If each bag already has a list — with photos and dollar values on the items that were worth something — that entire problem is a screenshot. You are not reconstructing anything. You have a contemporaneous, itemized record made before the loss, which is the strongest form of documentation there is for this kind of claim.
You will hopefully never use it. But it is the reason I now add photos and values to the four or five expensive things in a bag rather than just their names, and it costs about a minute per trip.
Kids’ Bags, and Making It a Shared System
The version of this that works with kids is slightly different from the version that works for two adults.
Give each kid their own bag and their own list. Not a shared "kids’ stuff" bag — one bag each, tagged, with their name on the list. It removes the entire class of problem where you know a swim shirt is packed but not whose it is or where.
Older kids can run their own list. Around eight or nine, a kid can tap their own backpack and check their own list before leaving a hotel room. This works far better than telling them to remember things, and it offloads a genuinely tedious job.
Share the lists across the adults. This is the piece that matters most. Both parents should be able to see every bag, which in Intellist means putting the trip’s lists in a Group so the whole family works off the same set. Sharing is what makes it a system rather than one person’s private spreadsheet — and one-person systems are the ones that get abandoned.

What About Packing List Apps Like PackPoint and Packr?
Fair question, and they are solving a real problem — just the other half of it.
PackPoint and Packr generate a packing list for you from the trip details: destination, dates, weather, whether it is business or leisure, what activities you have planned. That is legitimately useful and it is something a plain list app does not do. If your failure mode is forgetting to bring things, one of these is a good download.
Credit where it is due: Packr can assign items to specific bags, and it tracks luggage weight against airline limits, which is a genuinely nice touch and something I do not do. So it is not fair to say these apps ignore the bags entirely.
Where they stop is the physical connection and the timeline. The list still lives only in the app — you have to remember you made it, open it, and find the right bag, which is exactly the friction that stops anyone from updating it mid-trip when the ponchos move from one bag to another. And both are trip-scoped by design: the list is for this trip, there is no photo or dollar value on an item if you ever need to file a claim, and the app is not really trying to be anything to you between vacations.
So the honest framing: a generator app is for the day before you leave. Bag-level lists are for the seven days after.
